Automations

An automation sends the right email at the right time, by itself. Your AI writes it from what you say; you say yes once, and from then on it runs in the background, with no chat open.

What it's for

Use an automation when the same thing should happen every time something happens. A welcome series after someone signs up, a free course for everyone who joins your list, a thank-you and a tip a few days after a purchase, a note when a membership payment fails, a follow-up after a class or a call, a nudge when someone finishes a course.

It can start when someone:

  • signs up on your site
  • buys something
  • starts, cancels or fails to pay a membership
  • gets a tag, or loses one
  • books, comes to, misses or cancels a class or a call
  • finishes a lesson or a course

Or you start people in it by hand.

Ask your AI

Tell your AI what should happen, in your own words. For example: "When someone signs up for the newsletter, send a welcome now, a story about how I started two days later, and my best tip after a week." Or: "Three days after someone books a class, ask how it went." Or: "Give everyone who signs up my free starter course, and email them the link."

Your AI writes the steps and asks your yes. The steps it can use: wait (days, hours, or until a day and time), send an email, add or remove a tag, start or stop another automation, leave you a note, put a task on a department's board, give someone access to one of your member products (what members open in your members area, like a course), and check whether someone has a tag or bought something.

To start people by hand, say who: "Start Ana and Ben in the onboarding series." Each start is a yes card too, one card for the whole list.

What you'll see

A yes card titled Your automation: with its name. Your yes switches on that exact version. A change later is a new version and a new yes; people already in it finish the version they started.

On your phone, Automations shows whether they are On or Paused and the ones you have set up. Your AI can tell you how many people are in each one, how many finished, and why one stopped for someone.

When an automation gives access, the person opens it in your members area just as if they had bought it, and you see it in the list of who may open it.

In Settings there is one switch, Pause all automations. It stops them all at once, and one tap switches them back on. Receipts, class reminders, the waiting list, sign-up welcomes and anything you already said yes to keep going.

Limits

  • Only people who join after your yes are started. Nobody from before is added.
  • Up to 30 steps in one automation.
  • An email can fill in only a person's first name, their name and your company's name.
  • Marketing emails go only to people who said yes to them and confirmed, with an unsubscribe link. Your business address must be in your company details first.
  • Automations check every 5 minutes, so a step can go a few minutes after it is due.
  • An automation gives access to one of your member products, once per person, however often it gets there. If you took someone's access away, an automation never gives it back. Taking access away from an automation is not there yet.
  • To switch off one automation, ask your AI to remove it (a yes card). Pause all is the only one-tap switch.
